Preparing Your Building for Heating Oil Delivery

Delivery coordination works best when the property contact and supplier have consistent, accurate information before a truck is dispatched.

Verify the delivery address

Use the exact street address, borough or municipality, ZIP code, building name where relevant, and an authorized phone contact. For apartment buildings, distinguish the mailing address from the actual fuel fill location if they differ.

Document access instructions

Note gates, locked areas, fill points, loading or parking restrictions, and the person authorized to provide access. Do not promise street or loading access that has not been confirmed with the property.

Confirm the order details

Review the fuel grade or blend, estimated gallons, quote terms, and preferred delivery timing. Actual delivery dates are subject to confirmation. Keep a record of the order and delivery documentation.

Frequently asked questions

Should a superintendent be present?

Ask the supplier what access arrangements are required. Provide an authorized site contact who can respond to questions.

Can we change the fill connection before delivery?

Do not modify tanks, piping, or heating equipment without appropriate qualified professionals and any required approvals.

PRACTICAL FIELD GUIDE

A practical building access handoff

The person placing the order and the person receiving a delivery may be different. Documenting the site accurately reduces avoidable scheduling questions.

01

Confirm the service location

  • Use the actual delivery address, not only a billing address
  • Identify the authorized building contact and a reliable phone number
  • Note known fill-point location and whether it is publicly accessible
02

Document site restrictions

  • Describe locked entrances, gates and controlled access
  • Flag known street, parking or loading constraints for supplier review
  • Avoid placing gate codes or other sensitive access credentials in public forms
03

Prepare for a confirmed appointment

  • Keep the purchasing and receiving contacts informed of the agreed terms
  • Make sure the receiving area can be accessed lawfully and safely
  • Retain order and delivery documentation for building records
Keep in mind

A website request does not reserve a delivery. Do not rely on a proposed date until the company confirms the arrangement.
